Race Organizer Checklist

Here is a helpful checklist to assist in planning your road race.

  • Select your date from the available road race dates
  • Submit your request to the Carolina Union via 25Live (REQUIRED)
  • Sign the UNC Police Road Race Agreement (REQUIRED)
  • Notify city officials, Town of Chapel Hill and obtain any permits/approvals, see contacts in Resources. (REQUIRED)
  • Determine your starting line, reserve a parking lot on the race route or reserve Bynum Circle (REQUIRED).
    • Effective Fall 2024, Campus Y is not a reservable space for Road Races.
  • Reserve portable restrooms for your attendees through a third party vendor. (HIGHLY RECOMMENDED)
  • Conduct Risk Assessment (HIGHLY RECOMMENDED)
    • Student Organizers learn about risk management, here)
    • Consult with UNC Environment, Health, and Safety Name your event and design your logo 
  • Confirm EMS has been notified of your road race 
  • Establish a registration price and build your budget
  • Familiarize yourself with the course and event footprint
  • Draft your event timeline
  • Schedule rentals (if applicable) 
  • Hire a race timer (if needed)
  • Order race supplies
  • Promote the event
